JOB DESCRIPTION

It requires exceptional organizational skills, discretion, and the ability to handle a wide range of responsibilities efficiently. You will be the primary point of contact for internal and external stakeholders, working closely with the team of executive assistants to ensure the smooth running of the office.

MAIN RESPONSIBILITIES

  • Calendar Management: Coordinate and manage the daily schedule, including meetings, appointments, and travel arrangements. Prioritize and optimize the CEO's time to ensure maximum productivity.
  • Communication: Handle incoming communications, emails, and phone calls, responding or redirecting as appropriate.
  • Meeting Support: Prepare agendas, briefing materials, and presentations for meetings. If required, attend meetings, take notes, and follow up on action items. Ensure all relevant parties are well-prepared for scheduled meetings.
  • Travel Arrangements: Organize domestic and international travel logistics, including flight bookings, hotel accommodations, ground transportation, and visa arrangements when necessary.
  • Confidentiality and Discretion: Maintain strict confidentiality and handle sensitive information with utmost discretion. Deal with confidential matters in a professional manner.
  • Document Management: Oversee the organization and maintenance of important documents, contracts, and files.
  • Event Planning: Assist in organizing company events, conferences, and executive gatherings. Manage logistics, invitations, and RSVPs to ensure the success of these events.
  • Relationship Building: Develop and maintain positive relationships with key stakeholders, both internal and external, to facilitate smooth communication and collaboration.
  • Special Projects: Support in various special projects, research initiatives, and strategic tasks as required.

 

Requisitos

REQUIRIMENTS

 

  • Bachelor's degree in Business Administration or similar and Master's degree in International Senior Management Secretarial Studies.
  • Have at least 5 years of experience as an executive assistant or in a similar role supporting high-level executives.
  • Level of English proficiency.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills, with the ability to interact effectively with individuals at all levels in Spanish and English.
  • Proficiency in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint), email clients, and calendar applications.
  • Ability to work under pressure, handle multiple tasks simultaneously, and meet tight deadlines.
  • Discretion and the ability to handle confidential information with integrity.
  • Excellent problem-solving skills and a proactive attitude.
  • Professionalism and the ability to represent the CEO and the organization in a positive and polished manner.
